What Data We May Collect

When you register or apply to attend a summit, we collect:

• Name, email address, phone number (including mobile number, if provided for SMS updates)
• Company and role/title
• Professional demographic category
• Application notes (e.g., why you want to attend)
• Dietary restrictions
• Additional contact names and emails you provide
• Payment information (processed securely by Stripe — see below)

How We Use Your Data

• To process and manage your summit registration or application
• To communicate with you about the event (confirmations, updates, day-of logistics)
• To send SMS updates on the day of the event, if you have opted in by providing a U.S. mobile number
• To share attendee lists with other attendees, if you opt in
• To improve our events and services

SMS Communications

If you provide a U.S. mobile phone number during registration, we may use it to send you event-related SMS messages on the day of the summit (e.g., schedule updates, room changes, logistical reminders). Your mobile number is used solely for this purpose and is not sold or shared with third parties for promotional purposes.

SMS messages are sent through a third-party messaging provider on our behalf. You may opt out of SMS messages at any time by replying STOP to any message or by emailing us at summits@newcomer.co.

Payment Processing

Payments are processed by Stripe. Your credit card number and payment details are sent directly to Stripe and are never stored on our servers. We only retain a Stripe customer ID and payment intent ID to manage your transaction.

Data Storage

Your data is stored in a secured database hosted by Supabase. Access is restricted to authorized personnel only.

Cookies

We use a single essential cookie (reg_token) to keep you signed in after you verify your email via magic link. This cookie is required for the registration process to work and is not used for tracking or advertising.

Data Retention

We retain your registration data for as long as necessary to administer the summit you registered for and for a reasonable period afterward for record-keeping and follow-up. You may request deletion of your data at any time (see below).

Your Rights

You have the right to:

• Request access to the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data
• Withdraw consent for optional data sharing (e.g., the attendee list, SMS updates)
